Submitting Electronic Reserve requests:

Turnaround time
Electronic reserve requests should be submitted as early as possible. Please allow up to 2 weeks for your request to be processed. Obtaining copyright clearance may take considerably longer for materials not covered by fair use.
Requests will be processed in the order they are received.
Guidelines
Materials that may be placed on Electronic Reserves without obtaining copyright clearance include:
- Links to articles and other publications included in the Columbia College Chicago Library subscription databases
- Anything for which the instructor holds the copyright including syllabi, class notes, slide lists, etc.
- Virtually all government publications (there are exceptions)
- Links to websites
Copyrighted materials covered by fair use may include:
- One article from a journal issue not available through the Columbia College Chicago Library subscription databases.
- One chapter, or less than 10% of a book. It is recommended that electronic items exceeding this be placed on regular reserve.
- A poem, essay, play or article from a collected work
- Student papers may be placed on Electronic Reserves. A signed release form from the student(s) must accompany the paper(s) at the time they are submitted.
Please note that using any of the above materials for subsequent semesters will require copyright clearance despite the limited nature of the use.
Items that may NOT be placed on Electronic Reserves:
- Pages from works intended to be "consumable" in the course of study or teaching such as workbooks, exercises, standardized tests, test booklets and answer sheets
- Course packets or photocopied anthologies
- An entire book, whether in-print or out-of-print
- Sound and video files (at this time)
The Library reserves the right to deny any materials based on copyright consideration.
Personal copies
Print copies
If you are submitting a photocopy, the following guidelines must be met:
- 8 ½ x 11 white paper
- Single-sided (no double-sided materials)
- High quality copies
- Paper clipped, not stapled
- Complete copyright information must be submitted for copyrighted works. Please include a copy of:
- the masthead for journals
- the back of the title page for books.
All print materials are considered the personal property of the faculty member and will be returned at the end of the semester.
Electronic copies
Electronic files may be emailed as attachments to: coursereserves@colum.edu
Subject heading must include: Electronic Reserves Submission, faculty name and course number
Reusing Materials
Electronic Reserves are not carried over from semester to semester. If you wish to reuse an item you had on reserve during a prior semester, you will need to submit a new Electronic Reserves Form for the current semester.
Please note that the following materials will no longer be covered by fair use and will require copyright clearance if used for subsequent semesters:
- An article from a journal issue not available through the Columbia College Chicago Library subscription databases, or in paper format
- A chapter or less than 10% of a book
- A poem, essay, play or article from a collected work
Confirmation
The Library will send you an email to notify you when your request has been processed. This email will also include:
- The password your students will need to access the Electronic reserves system.
- The URL to your Electronic Reserves page. You can use this link to create a direct link from your OASIS course page to Electronic Reserves.
You will also be notified at this time if any of your requests were not eligible for Electronic Reserves or if posting is being delayed while the Library seeks copyright clearance.
Accessing Your Electronic Reserves
Electronic Reserves can be accessed on the Library home page through the Course Reserves link.
Password required
Access to Electronic Reserves material is restricted by password. The password will be emailed to the faculty member after the materials have been processed. It is the faculty member's responsibility to communicate this password to the students enrolled in the course so they may access the course page and materials.
